Important Documents Life Cycle

The Life Cyle Way for Important Documents

If you’ve ever felt overwhelmed by just the thought of getting all of your important documents in order, there is a reason. It’s a big project! This isn’t a one and done task, as there is ongoing adding, updating, and maintaining involved as you move through the different stages of your life.

Using the Life Cycle Way for important documents breaks the project into manageable phases so you can make steady progress at a pace that works for you, and have a sustainable customized system you can always return to.

Let’s walk through the Plan, Organize, Do, and Reflect phases of the Important Documents Life Cycle System.

Plan

This is the phase where you identify the documents that apply to your life, make important decisions, recognize what’s missing, and think through how you want your document system to support you moving forward.

You’ll also take time to plan the practical details, including the supplies you’ll need, where and how you’ll organize your documents, how you’ll maintain your system, how you’ll measure your success, and what resources or support may help you along the way, whether that’s a template, a consultant, or someone you trust.

Organize

Once you have a plan, it’s time to create a system.

Organizing is where your planning begins to take shape. You’ll build your physical and digital filing systems, gather any supplies you need, obtain updated or replacement copies of important records, and organize your documents according to the plan you’ve created. The goal is to create a system you’ll understand, maintain, and continue using over time.

Do

A document system is meant to be used.

The Doing phase includes the everyday activities that keep your system current, such as filing new paperwork, updating information, scanning documents, replacing outdated records, retrieving information when life calls for it, and sharing information about your document system with trusted people when appropriate.

Reflect

Life changes, and your document system should change with it.

Reflection provides an opportunity to review your information, update your records, remove what is no longer needed, and make thoughtful adjustments so your system continues supporting your current season of life. It’s also a time to evaluate how well your system is working and make improvements that better support your needs.
